Start with the serial tag
Photograph the entire machine tag in good light. Include the model, product-identification number, serial number and any arrangement or specification code shown.
Identify the exact location
Describe where the part sits on the machine and what connects to it. A wide photo for context plus a close photo for detail is more useful than one extreme close-up.
Distinguish machine serial from component identity
Engines, pumps, axles, transmissions and attachments can have their own tags and serial ranges. Send both the complete machine identity and the component tag when the part belongs to a separately identified assembly.
Use measurements as confirmation
Thread diameter alone does not identify a fitting, seal or bearing. Record outside diameter, pitch, length, bore, width, connector style and orientation with a ruler or caliper in the photo when possible, while preserving the old part for comparison.
Preserve the old part
Bring the original when practical.
- Do not discard fittings, spacers or hardware
- Mark hose and fitting orientation
- Record connector pin count and wire colors
- Measure shaft, thread and mounting dimensions
- Note any number stamped into the component
